Translation Project Manager

Role summary

The aim of the Translation Project Manager role is to provide suitably qualified/experienced translations for Private and Public Sector services, to professionals requesting assistance to translate documents for Non-English speaking clients.

Responsibilities

  • Receive bookings via telephone, fax, email and through D A Link from clients ensuring all necessary information has been obtained in advance of booking being made
  • Calculate and prepare a quote for the client based on the word count and other characteristics of the project
  • Ensure priority is given to emergencies and that they are dealt with within a timely manner
  • Negotiate with translators to cover requested bookings at the lowest cost to the company
  • Ensure full communication is kept with translators and clients regarding their projects
  • Arrange subcontracted services where we are unable to provide our own translators
  • Work closely with the recruitment department to ensure they are aware of your needs and have the opportunity to source translators for projects you are unable to assign
  • Add bookings to D A Link where required if admin staff are not available
  • Make amendments to Link data when requested to by the client, ensuring that linguist is aware of any changes and confirmation of changes is sent to client and linguist through D A
  • Link and manual email if needed. This includes cancellation of bookings, amendments to job details and change of linguists
  • Develop good working relationships with clients’ being sympathetic and understanding to their needs and advising them quickly when they have queries
  • Develop good working relationship with linguists ensuring a wide range of translators are given the opportunity to work for us
  • Assist other departments when information is required regarding your bookings
  • Work efficiently as a team to ensure all staff are able to meet their targets when workload is high
  • Take telephone calls from clients and linguists where needed
  • Deal with queries from clients and translators regarding your bookings
  • Provide cover for your team in their absence
  • To ensure all data is recorded on D A Link, including notes regarding your jobs that needs to be available for all staff to see
  • Meet client deadlines and contact times
  • Provide translations based on any special requirements provided by the client. Check translations before sending them to clients to make sure they meet the requirements
  • Troubleshooting to ensure we provide the best possible service when things go wrong
  • Preparation of files for translation using Trados SDL
  • Monitor translation projects to ensure the deadline and requirements are met

Skills/Knowledge/Behaviours

  • Qualifications (BA or MA) in Translation studies
  • Translation project management experience (desirable)
  • Computer literate
  • Knowledge of translation software (SDL Trados)
  • Create an energetic and positive atmosphere for your work colleagues
  • Be committed to your workload and actively seek to complete your projects in a timely manner
  • Be enthusiastic, willing and show initiative where possible
  • Be able to work under pressure effectively and accurately and for prolonged periods of time
  • Keen interest in developing your skills based on the needs of the office

  • Understand and appreciate the needs of the business and that translation project managers will play a vital role in the profit margin of the projects carried out

  • Knowing when team leader needs to be informed of any problems/ increased workloads
  • Evaluation of translators’ rates against client costs, obtaining authorisation where needed
  • Evaluation of clients’ translation needs
  • Decide when queries or complaints should be escalated to management
